    Both parties agree on the stages, acceptance criteria and challenge window duration before a single task begins.

  2. Capture evidence linked to each stage

    Photos, documents and sign-offs are submitted against the specific milestone they relate to - not into a general folder.

  3. Challenge window opens

    When a milestone is marked complete, the other party has a defined window to accept or raise a specific documented concern.

  4. Record closes with outcome documented

    Acceptance, challenge, or default approval - whichever applies, the outcome is recorded and the record is closed.

    Images are attached to the specific stage they evidence - not dropped into a general folder with no context.

  • Location metadata where available

    Where the device permits, location data is captured alongside photos to tie evidence to the site.

  • Documents version-tracked

    Every uploaded document is timestamped and versioned. Earlier versions remain accessible in the record.

  • No retroactive uploads

    Evidence cannot be submitted against a closed milestone without a documented reason that is visible to all parties.
